Understanding limits

People limits

People limits apply separately to sessions and master lists:
  • Session people — the total across all your active (non-archived) sessions. Archived sessions don’t count.
  • Master list people — the total across all your master lists (active records only).
These are independent pools. For example, on the Starter plan you can have up to 500 people across your sessions and up to 500 people across your master lists.
If you reach a people limit, you can still manage existing records — you just can’t add new ones until you archive old sessions, deactivate master list records, or upgrade your plan.

User seats

Each plan includes a set number of seats per role:
  • Org Admins — full organisation access (settings, billing, all data)
  • Coordinators — session and data management with configurable permissions
  • Capturers — photo capture via the mobile app (assigned sessions only)
If you need more seats than your plan allows, upgrade to a higher plan.

Storage

Storage is used by uploaded photos (originals and thumbnails). Typical usage:
  • Each photo: approximately 500 KB – 1.5 MB
  • 1,000 photos: approximately 1 – 2 GB

Master Lists and Templates

These limits apply to active (non-archived) items. You can archive items you’re no longer using to free up capacity.

Managing your subscription

  1. Go to Billing in the sidebar
  2. View your current plan and usage
  3. Click Upgrade or Downgrade to change plans
  4. Manage payment details via the Stripe Customer Portal

Upgrading

Upgrades take effect immediately. You’re charged a prorated amount for the remainder of your current billing period.

Downgrading

Downgrades take effect at the end of your current billing period. Make sure your usage is within the new plan’s limits before downgrading.
If your usage exceeds the new plan’s limits when the downgrade takes effect, you’ll enter a restricted state. You can still access and export your data, but you won’t be able to create new sessions or add people until you’re within limits.

Cancellation

If you cancel your subscription:
  • Your account enters a read-only state
  • You can still sign in, view data, and export
  • You cannot create new sessions, capture photos, or add people
  • Your data is preserved — contact us if you want to reactivate

Trial

Every new organisation gets a 14-day free Pro trial — you get full access to Pro features including 3 Master Lists, 2,500 session people, 2,500 master list people, 10 Card Templates, and directory sync. No credit card required. After the trial:
  • Subscribe to any plan to continue using CaptrID
  • If you don’t subscribe within 3 days of trial expiry, your account enters read-only mode
  • Features reduce to Starter limits if you don’t subscribe, but your data is never deleted
  • You can upgrade at any time to restore full access
