Wonde sync requires a Pro or Business plan. Pro plans support 1 sync provider; Business plans support multiple connections.
Before you start: access takes a few days
This is the one thing worth knowing up front, because it is different from every other connector. An Entra or Airtable connection is instant — you authorise it and it works. A Wonde connection is not. Your school has to approve CaptrID’s access, and Wonde runs an audit before switching it on. That is Wonde acting as a gatekeeper on your school’s data, which is the point of using them, but it does mean allowing a few days between requesting access and running your first sync. Plan around it. If you have a photo day in a fortnight, request access now.Step 1: Request access to your school
- Go to Directory Integrations in the sidebar
- Click Add Connection and choose Wonde
- Search for your school and select it
- Provide a contact at the school who can approve the request — usually the business manager or IT lead
If your school has already approved CaptrID through Wonde, you will see it under Add approved school instead — “Schools the shared Wonde token is approved for. No token needed.” Those activate straight away, so you can skip ahead to Step 3.
Step 2: Wait for approval
Wonde emails your school contact. Once they approve and Wonde completes its audit, the connection flips to Connected on its own — CaptrID is told directly, so you do not need to keep checking. If the request is declined or later revoked, the connection shows “The school revoked or declined access, so it cannot sync” and you can request access again from Directory Integrations.Step 3: Connect a school to a Master List
Each Wonde connection is one approved school, and each Master List syncs one roster. Open a Master List, go to its sync settings, and choose your Wonde connection. Then pick the roster type:Step 4: Choose the unique identifier
Every Master List needs one field that uniquely identifies a person and never changes. CaptrID shows you the candidates from your school’s data, with an example value from real records so you can see what you are choosing. Two things the wizard will tell you:- Coverage. If a candidate is missing from some records, you will see “Only 47 of 50 sampled records have a Student ID.” A UID has to be on every record, so pick a different field or fix the gaps in your MIS first.
- What you can see. Only fields your school approved for CaptrID appear. If something you expected is missing, your school’s Wonde permissions are the place to look.
The Wonde record id is always stored automatically as the sync anchor, separately from your chosen UID. That is what lets CaptrID match a person on the next sync even if their student number changes.
Step 5: Map your fields
Map the Wonde fields you want onto your Master List’s schema. If you map something that has no matching field yet, CaptrID offers to create it — “Saving will add 3 new fields. These will be populated on the next sync.” Map all does the obvious ones in a single click.Filters
By default, everyone in the roster syncs. Add conditions to narrow it — “Only records matching this filter will sync; others are skipped.” Conditions combine with AND/OR, the same way Entra and Airtable filters work.Step 6: Photos
Turn on photo sync and CaptrID pulls each person’s photograph from Wonde and re-hosts it in Australian storage, alongside the rest of your data. Choose what happens when a person already has a photo:
If photo sync fails with a permissions error, your school’s Wonde approval does not include the photo dataset. The rest of the sync carries on regardless — you will get a warning, not a failure.
Step 7: Run the first sync
Click Sync now. The first run pulls the full roster; later runs only fetch what changed. Set a schedule to keep it current:- Manual only (no scheduled sync)
- Every 6 hours
- Every 12 hours
- Every 24 hours
What Wonde does not do
Worth stating plainly so you can plan:- Photo consent flags are not passed through. If your MIS records a “do not photograph” flag, Wonde does not surface it to CaptrID, so it cannot be honoured automatically. Who is included is determined by the roster and the filters you configure. Keeping consent decisions reflected in your roster or filters is the school’s responsibility — see our Terms of Service §8.
- It is read-only. CaptrID never writes back to your MIS through Wonde.
- Compass is not covered. Wonde does not broker Compass in Australia. If your school runs Compass, talk to us about options.
